Schedule
The schedule builder turns accepted runs into a running order, with breaks and volunteer shifts. The public schedule and the live dashboard read from it.
Schedule builder
/<organization>/m/<marathon>/builder, for editors and above. It needs the marathon's start date.
The page has a timeline of the whole marathon and, on the left, three tabs: Runs (accepted, not scheduled yet), Hosts and Tech.
- Drag a run onto the timeline to place it. While you drag, the hours the runner can play are shaded green, and the run's shadow turns amber where it doesn't fit.
- Drag a slot to move it, or onto the left column to take it off the schedule.
- Click a slot to edit its length, setup time and title, move it earlier or later, or remove it.
- Add block adds a break, intermission or interview.
Length and setup. A run lasts its estimate unless you change it (Use the estimate goes back). Setup is the gap after a slot before the next one: 5 minutes for runs, none for blocks.
Pinned and following slots. A slot dropped at a time stays at that time; the others follow the slot before them. Follow the previous run unpins one. Close gaps unpins everything, so the whole schedule runs back to back from the start.
If a drop would overlap another slot, the builder asks: Push forward moves the following slots only as far as needed, Keep overlap leaves them, or cancel.
Timeline. − and + change the zoom (ticks every 60 down to 5 minutes). A red mark shows where the day changes. Three layouts: horizontal list (time wraps into rows that fill the width), horizontal timeline (one long row; the mouse wheel scrolls sideways one tick interval per notch, and the row fills the height) and vertical columns. The choice is remembered. The legend under the timeline explains every color.
Shifts
Hosts and tech (volunteers accepted as host or operator) work in shifts, apart from the slots.
- Drag a name from the Hosts or Tech tab into its lane to create a six-hour shift.
- Drag a shift to move it, drag its edges to resize it (5-minute steps, up to 24 hours), or drag it to the left column to remove it.
The builder warns, without blocking:
- a shift outside the person's availability is red;
- a shift longer than 6 hours, or starting less than 8 hours after the same person's last shift, gets an amber border;
- a red line under a slot means nobody of that role is on shift then.
Hover a volunteer to see when they're free and the rest time after each of their shifts. Click to keep that view on.
Warnings
A slot shows a warning when it is:
- outside the runner's availability;
- overlapping the slot before it;
- past the marathon's end;
- no longer accepted (the decision changed after it was scheduled).
Warnings are hints. Nothing stops you from saving.
Staffing
/<organization>/m/<marathon>/staffing lists, for each slot, who can cover each role: operators and hosts on shift, and the moderators and commentators who are free for the whole slot. A role nobody covers is red. Commentators only count on runs.
Public schedule
/<organization>/m/<marathon>/schedule, open to everyone once the marathon is published.
- Times show in the viewer's time zone, with a switch to the marathon's.
- Live now and Up next cards sit on top; the current slot is highlighted and finished ones are dimmed.
- A list view and a calendar view, day chips and Jump to now.
- Each run shows its start, length, game, category, platform, runners, commentators and hosts on shift.
Calendar feed. Add to calendar gives an iCal address. Subscribe to it in Google Calendar, Outlook or Apple Calendar and the schedule stays up to date there.
On the day
The live dashboard follows the schedule: Next run fills in the runners, mode and commentators of the next slot, and the hosts on shift. Overruns are fixed from the dashboard's Schedule tile, and the public schedule moves with them. The real start and end of each run are recorded.
